The Problem
For most service businesses, the #1 conversion driver is something almost nobody measures: quote turnaround time. The customer texts “need a fence quote” on Tuesday morning. Whoever responds first — sometimes a competitor, sometimes the same business 36 hours later — usually wins the job. The owner knows this and yet the quote-writing still happens at night, in spreadsheets, by hand, while the inbox grows. So quotes go out slow, or they go out wrong, or they don't go out at all.
The System
QuotePilot turns the customer's message — text, voicemail, web form, or email — into a structured request, then drafts a line-item quote from the business's actual pricing rules. The owner reviews, edits if needed, and approves in minutes instead of hours. The customer receives a branded PDF with an accept-and-pay link. Acceptance auto-converts the quote into a scheduled job (it hands off cleanly to JobLine if that's in the stack).
The pricing rules are the business's, not the AI's. Material costs, labor rates, bundle discounts, permit requirements, jurisdiction-specific fees, trip-fee waivers — all hand-tuned at scope. The AI's job is to read the customer's message, structure the ask, apply the rules, and surface anything that needs the owner's judgment (atypical scope, conflicts with availability, scope ambiguity).

Flags for the owner
Site visit not strictly required
Customer provided length, height, gate count, address. Aerial view confirms property lines. Quote is firm pending corner-post confirmation on arrival.
Permit timing
Coral Gables permits run 7-10 business days; build the install window from permit-issued date, not quote-accepted date.
Internal notes (owner-only)
Aerial check shows no easement issues. Customer has been on Zillow saved-search alerts → likely cash buyer (verify before final). Bundle discount auto-applied. Confirm corner posts on-site before final invoice.
Note in customer-facing quote
This estimate is firm pending an on-site confirmation of corner-post placement and any sprinkler-line conflicts. Permit application is included and runs 7-10 business days; we'll begin install once the permit is issued. Two-day install with a 2-person crew.

The Result
Quote turnaround drops from 24-48 hours to under an hour. Owners stop writing quotes after dinner. Lost-to-faster-competitor cases drop visibly. Pricing stays consistent across techs and seasons because the rules sit in one place, not in three people's heads. And the quotes themselves get better — line-items, clear notes, valid-for windows, accept-pay links — because the friction of writing one cleanly is now zero.
Why It Matters
Quoting is where pricing power lives. A scoped, AI-drafted quote that arrives in 20 minutes is a different sales motion than a 2-day delay with a typo. Service businesses lose more jobs to slow quotes than to high prices — and the quote-writing tax falls disproportionately on the owner, the most expensive person to be doing data-entry-style work.
QuotePilot is a shape, not a product. Benri tailors the pricing rules, the line-item structure, the bundle logic, the permit and disposal add-ons, the trip-fee waivers, the customer-facing notes, and the integrations (Stripe for accept-pay, JobLine for conversion, CRM for tracking). The owner stays in the loop on every send — the system doesn't auto-bind pricing, it removes the writing friction.
